A paperwork service for Malaysian businesses, run on WhatsApp

Receipts, claims and unpaid invoices, chased for you.

Your staff send receipts, claims, delivery notes or bills to one ChaseDone WhatsApp number, as photos, voice notes or documents. ChaseDone reads them, chases what is missing, and sends you one list at the end of each day: what is unpaid, what is missing, and who needs to act.

What we offer

One job, done every day. Pick the one that hurts most.

Payments waiting

We track invoices due, send the agreed reminders to customers who have agreed to hear from you, in wording you approve, and record every reply.

You receive: which invoices are still unpaid, the next follow-up date and who needs to act.

Documents missing

We collect receipts, claims, delivery notes and supplier bills, and flag duplicates and gaps.

You receive: a register of what is missing and who needs to supply it.

Work still open

We collect the agreed daily reports, orders or job updates and chase what has not come in.

You receive: a daily close of what is still waiting on someone, with the next action recorded.

Something else?

Describe it. Each job is set up around your workflow, your document formats and the way your staff already send things.

You receive: a written scope for that one job: what your team sends, what you get back, and by when.

We start with one of these. Your team supplies the records; ChaseDone keeps the outstanding list and the reminders organised.

What you can hold us to

Three promises, in writing.

No metersOne flat monthly fee for one agreed job and volume, fixed in writing before we start. No per-message charges and no automatic overage; if your volume grows, we agree a new number first.
Nothing here can move moneyChaseDone reads, chases and lists. It never pays, transfers, approves or changes a bank detail; anything about money comes back to you as one question.
One named personTeh Koon Sheng sets your job up and checks the flagged items on working days. You message him directly, Monday to Saturday, 9 am to 6 pm, and hear back within the hour.
See it work

One real claim, start to finish.

A real staff claim from 14 September 2026. Company, staff and vendor names are changed; the amounts, dates and receipt numbers are as they were.

Forty-two seconds: a site worker sends 16 receipts as one scanned PDF, the claims sheet fills itself and ties to his stated total, one ticket that prints two numbers is flagged instead of guessed, and the boss gets a single message with one decision to make.

Who does the work

Software every day. One named person accountable.

Built and used in two businesses I operate — live operating environments, not independent customer endorsements.

A small-business desk with receipts, a phone and a ledger
Software collects and chases

Every day, automatically: it reads what your staff send, updates the register and asks one question when something is unclear. An amount it cannot read is flagged, not filled in, and every entry links to the original.

I set it up and check it

Teh Koon Sheng, founder and service operator, Renduo Enterprise · Penang. I built the system, I set your job up, I check the flagged items on working days before the list reaches you, and I fix what breaks. Support is Monday to Saturday, 9 am to 6 pm Malaysia time: I acknowledge within the hour and tell you when it will be fixed. If I am away, the day's list still goes out, marked as unchecked, and your register stays an ordinary spreadsheet you hold at all times.

How to start

Four steps, in order. The first is one message.

Send one WhatsApp messageIn your own words or a voice note, tell us four things:
  • What your business does.
  • What your team keeps chasing: receipts, claims, delivery notes, unpaid invoices.
  • Roughly how many people send records, and how many items a month.
  • One sample of what you use today: a claim form, a spreadsheet or a photo of the pile. Redacted is fine.
The button below opens WhatsApp with those four lines ready to fill in.
A 20-minute callWe reply within the hour on working days and fix a call. We look at your sample together and agree the one job to start with. No preparation needed.
One written totalScope, deliverables, price and a pass-or-fail test, all in writing before any work begins. Example pilot: RM800 for 30 days on one paperwork problem, paid as RM400 to start and RM400 when the test passes. Continuing afterwards is optional, indicatively RM299 to RM599 a month.
Setup, handover, then liveWe set the job up, show the person who submits where to send, and review the first live week with you. From then on: records in, chasing done, one list a day.

Questions

Before you hand over the chasing.

Will my WhatsApp number kena ban?

The standard service does not use your business number at all: your staff send records to a separate ChaseDone number set up only for your job, so a restriction could only land on that line, never on the number your customers know, and your scope names the route your staff use if that happens. If you also want messages sent to your customers, those go through the official WhatsApp Business Platform on your own number.

Does my team need to install anything, or type things in?

No. Nothing changes for your staff except where they send: records go to one ChaseDone WhatsApp number, as text, voice notes, photos, short videos or documents. A supervisor can talk, a cashier can snap a receipt, a driver can film the delivery; each becomes an entry in the register with the original attached.

Meta has its own business agent. Why you?

Meta's agent answers your customers' messages, and it is billed per message. It does not chase your staff for receipts, keep a register, or take responsibility for what is in it. ChaseDone does that back-office job at one flat fee, with a named person who checks the work.

What does it cost?

The example pilot is RM800 for a defined 30-day scope: RM400 to start, RM400 when the written pass-or-fail test passes. You judge the test within five working days of the pilot's end; if it fails, the second RM400 is never charged and RM200 of the first payment is refunded within seven calendar days, the other RM200 covering the setup work already done. Continuing afterwards is optional, indicatively RM299 to RM599 a month for one agreed job and volume, listed in your quotation with every fee, tax and third-party charge before you decide. No meters and no automatic overage.

Can I stop?

Yes. After the pilot you can stop with seven days' notice. If I ever discontinue the service, you get 30 days' notice and your records and originals are exported to you before it ends.

What if the line drops or is restricted?

Your staff's messages stay on their phones. When the line is back, the backlog is read in order and anything missing is asked for again; if an outage runs into the daily close, I send that day's list myself, marked incomplete if it is. If the line is restricted, work continues through the fallback named in your scope, email or the upload link. I re-link a logged-out line from my phone; I do not promise a replacement number, because WhatsApp does not allow a new business account after a termination without its permission.

What if it misunderstands a message?

Unclear items are never filled in. If a receipt, amount or instruction is unclear, it asks the sender one question and marks the item “to verify” on the list. I check the flagged items on working days before the list goes to you, and corrections you give are recorded and used for later processing.

Do you sign a data processing agreement?

Yes. We agree providers, locations, access, retention, export and deletion before live personal data is connected.

Can it work in Malay and Chinese?

Yes — Bahasa Malaysia, English and Chinese. We test your terminology and document formats during setup.
